[opal_migration_leads] Action Needed: Test Your Alma Fulfillment Settings

Hi everyone,

The current fulfillment units, policies, and terms of use in your Alma environment are based on the limitations of the ExLibris Configuration Form, which didn't cover all possible exceptions for things like equipment, reserves, special collections, or unique scenarios. Now is the time to test fulfillment and identify areas where adjustments are needed!

What to Do:
Over the next few weeks and by the end of November, please test whether your materials check out to each of your patron groups as expected. This should be done before we start another round of forms for the final data extraction or dive too deeply into integrations.


Getting Started:

  *   Attached is a template listing common material and patron groups to help you prioritize what you want to test.  Feel free to edit the spreadsheet or use a different tool if you prefer.


  *   If material types circulate differently by location, make sure you test each scenario.


  *   Focus first on areas where you currently have a lot of exceptions in Sierra that need to be reflected in Alma (e.g., reserves, equipment, special collections).



Checking Alma Policies Applied to a Transaction:

  *   For items already checked out: Go to the user's record > Loan tab > find the item > click the ellipsis button > View Policies.
  *   For items not checked out: Use Fulfillment > Advanced Tools - Loans > Fulfillment Configuration Utility, then look up the user and the item.


Local Circulation:
Local circulation will require configuring resource sharing item policy exceptions for each Alma Item Policy. When we get to the OhioLINK borrowing/lending configuration with Rapido, we'll use your ITYPEs for this. These have already been mapped to Alma Item Policies to create exceptions for resource sharing.

If you need additional fulfillment units, exceptions configured, or encounter issues, let Matt and Heidi know. You can send a detailed list or make notes in the attached spreadsheet. Please include affected locations, item/patron types, and any necessary details or examples.
